Tutoring Policies
Download policy document (Word)Score 54 Tutoring
These policies are designed to provide students and families with clear expectations regarding scheduling, attendance, payment, communication, and session logistics.
Scheduling
Tutoring sessions are scheduled in advance at a mutually agreed-upon day and time.
Recurring students may reserve a consistent weekly time slot. Once scheduled, that time is held exclusively for that student and is not made available to other students.
Sessions are scheduled in one-hour increments. Students may request:
- Longer sessions
- Multiple sessions per week
- Additional sessions during a particular week
All additional or extended sessions are subject to availability and cannot be guaranteed.
Students and families will receive scheduling confirmations through the tutoring scheduling platform.
Rescheduling and Cancellations
At least 12 hours’ notice is required to cancel or reschedule a session without being subject to the full session fee.
Cancellations made with less than 12 hours’ notice are considered late cancellations and may be charged at the full session rate.
When a same-day scheduling conflict arises, reasonable efforts may be made to move the session to another available time. However, same-day rescheduling is not guaranteed.
Each student may receive one late-cancellation grace exception per quarter. Grace exceptions do not roll over into future quarters.
After the grace exception has been used, subsequent late cancellations during that quarter are subject to the full session fee.
Additional exceptions may be made at the tutor’s discretion in extraordinary circumstances. Such exceptions are not guaranteed and should not be considered a modification of the standard cancellation policy.
Tutor Cancellations
If the tutor must cancel a scheduled session, the student will not be charged for that session.
Reasonable efforts will be made to reschedule the session at a mutually convenient time, subject to availability.
Late Arrivals
Sessions are reserved for the scheduled time window.
A student’s late arrival does not guarantee that the session will be extended beyond its originally scheduled end time. Any extension is at the tutor’s discretion.
If a student arrives more than 10 minutes after the scheduled start time, the tutor reserves the right to consider the session a late cancellation and apply the applicable cancellation policy.
Payment
Tutoring is billed on a per-session basis.
Payment information is submitted through the tutoring scheduling platform and securely processed through Stripe.
Families may be asked to provide payment information before tutoring begins. Once submitted, payment information may be used to process applicable tutoring charges in accordance with these policies.
Communication
Quick scheduling updates, questions, or other brief communication may be handled by text.
Parents and guardians are welcome to discuss student progress or other tutoring-related matters. When a conversation requires additional time, a separate phone call or meeting may be scheduled at a mutually convenient time.
Requests for longer conversations immediately before or after a tutoring session may not always be accommodated.
Online Sessions and Technology
Online tutoring sessions are conducted through Google Meet.
Students are responsible for having:
- A reliable internet connection
- A device capable of joining Google Meet
- A functioning microphone
- Access to the meeting link
- Any materials needed for that day’s session
Technical difficulties on the student’s side do not automatically extend the scheduled session.
Materials and Student Work
When appropriate, supplementary materials provided by the tutor may be sent to the student before the scheduled session.
Students are encouraged to send any materials they would like reviewed in advance, including:
- Homework
- Quizzes
- Tests
- Practice problems
- Worksheets
- Photos or scans of assignments
- Other relevant academic materials
Providing materials ahead of time allows the tutor to review them in advance and helps maximize instructional time during the session.
Tutoring Outcomes
Tutoring is intended to provide academic instruction, strategy development, practice, feedback, and individualized support.
While every reasonable effort will be made to help students improve, tutoring does not guarantee any particular grade, test score, admission outcome, or academic result.
Policy Updates
These policies may be revised from time to time as scheduling practices, services, or business needs change.
The most current version of the tutoring policies will govern future sessions.
